Managing and using Product Groups

Welcome to this user guide that will assist you in creating your first Product Group and understanding its structure, including the different sections. This comprehensive guide will equip you with the knowledge necessary to effectively manage Product Groups within Pavilion.

By following the instructions provided, you will learn how to:

  • Understand the functions and features of Product Groups and their related Product Variations.

  • Create a new Product Group record to organize your inventory.

  • Utilize the available fields to input and update essential data points.

  • Add your Product Group to your website, ensuring a seamless online shopping experience for your customers.

1.1 What is the purpose of adding Inventory Items to Product Group?

Product Groups are used to group similar inventory items into a single entity, allowing them to be effectivelly displayed on your website as a unified unit. Product Groups enable businesses to showcase their inventory in a structured manner and enhance the overall presentation of their offerings.

Product Group consist of Product Variations which represents a one or many Inventory Items with the same set of attributes values.

1.1.1 How are Product Variations Generated?

When you add inventory items to a Product Group, Pavilion automatically generates Product Variations for each unique attribute combination.

Variation Name Generation

Variation names are made up of attribute values, separated by commas. Consistent attribute values (those that are the same for all items in the product group) are not included in the variation name.

Example

Four inventory items added to a new product group:

* - Not marked as variation attribute.

Please consult an administrator if more attributes need to be marked as variation attributes.

Three variations are created:

  1. Yellow, 8

  2. White, 8

  3. Pink, 9

The Metal attribute value (18K Gold) is not added to variation names as it's the same for all items. The Finish attribute is ignored as it's not a variation attribute.

1.2 How to create a new Product Group?

⚠️Product Group creation is available for the items only when the Inventory Item сategory is allowed for grouping, and the selected pricing model is "Unique Item" or "Multy Quantity”. If you do not see any categories available for grouping, please seek assistance from your administrator.

💡After creating the Product Group, you can add as many Inventory Items as you need.

Creating a New Product Group (from Product Group list view)

1. Navigate to the App Launcher: locate the App Launcher icon, which resembles a grid. Click on the App Launcher icon to access the app menu.

2. Within the app menu, type Product Groups into the Search field.

3. Click on the Product Groups to proceed.

4. In the Product Group list view, click on the New button.

5. On the open page, find the Product Group field and input the name of the group.

6. In the Category field, select the category that is relevant to your Inventory item.

7. The chosen category will filter and display all available Inventory items related to that specific category for grouping. In the Items field, select the Inventory Item that you wish to add to your product group.

8. Alternatively, you can add your Inventory Item before selecting the category. The chosen Inventory item will pre-select the category related to it automatically.

9. A new Product Variation is added after adding an Inventory Item to the group.

10. Please note that you have the ability to edit the prices of Product Variations. Any changes made to the prices of the Product Variation items will be automatically updated on the related Inventory items after saving the changes.

11. Click on the Reset to Highest Price button if you wish to revert your price changes or set the price to the highest among the Inventory Items if more than one has been added to the Product Variation.

12. Verify the correctness of the filled data and then click on the Save button to save the changes.

13. If you want to edit the data for your Product Group, navigate to the General section and click on the pencil icon next to the desired field. You can then make the necessary edits to the data.

14. To save changes, click on the Save button.

15. If you want to delete your Product Group, simply click on the Delete button located in the top right corner of the page.

16. Confirm the deletion process by clicking on the “Delete” button to proceed.

Creating a New Product Group (from Inventory Item list view)

1. Proceed to the Inventory Item list view and select the Inventory items from the list that are related to the same category and have a pricing model of Unique Item or Multy Quantity.

2. Click on the Add to Product Group button.

3. Add additional items from the Items lookup if needed.

4. Check if the data is correct and click on the Save button.

Creating a new Product Group (from Inventory Item record)

1. Proceed to the Inventory Item record with a category that is allowed for grouping and pricing model Unique Item or Multy Quantity. Click on the Add to Group button.

2. Click on the Save button.

1.3 How to add items to existing Product Group

By following this instruction, you can easily add items to an existing Product Group in Pavilion.

Examples

  1. User creates 2 new Inventory Items: 14K Yellow Gold Wedding Band of size 9.

  2. The user decides to group 2 items into one product group.

  3. Later, the user adds 2 new Inventory Items, similar to the first one, but of size 7 and size 8.

  4. At this moment there are 2 independent items in the Inventory Item list view.

  5. User decides to group all 4 items into one product, so they can be shown in a single Product Group on the Pavilion.

  6. After 4 items are grouped, 3 variations are created automatically based on the distinct attribute – size:

    1. 14K Yellow Gold Wedding Band size 9 – this variation has 2 items under it

    2. 14K Yellow Gold Wedding Band size 8 – this variation has 1 item under it

    3. 14K Yellow Gold Wedding Band size 7 – this variation has 1 item under it

1. Proceed to the Inventory Item list view and select the Inventory items from the list that are related to the same category as the existing Product Group that you want to add the items to.

2. Click on the Add to Product Group button.

3. Select the Pick Existing option.

4. In the Product Group field, select the specific Product Group that you want to add the items to. Upon selecting the existing group, your selected Inventory items will be added to the Product Variation of the existing Group.

5. After items are grouped, variations are created automatically based on the distinct attribute.

6. Click on the Save button.

1.4 Managing Product Variations

By following these instructions, you will learn how to manage Product Variations within a Product Group in Pavilion.

1. Add Inventory Items to the Tag printer:

  • Select the desired items from the list. You can choose individual products from a Product Variation by selecting them directly.

  • Alternatively, you can select all items within a Product Variation by marking the checkbox next to the Product Variation.

2. Click on the Print Tag button.

3. All of the chosen items will appear in the Tag printer, ready to be printed.

4. Alternatively, you can click on the option button next to the item in the list and then select Print. This will allow you to print the selected item directly.

5. Removing Inventory items from Product Variation:


Select the item(s) to delete from the list.

6. Click on the Remove from Group button.

7. Confirm the deletion by clicking on the Remove button.

8. Alternatively, you can click on the option button next to the item in the list and then select the Remove All Items button.

9. Adding Inventory items to Product Group:

Click on the Add Items button.

10. Select new items in the Items field and Save changes.

11. Editing Variation Prices:
To edit variation prices, click on the product variation label within the Product Group Items table.

12. Edit the necessary values for the prices.

13. Click on the Save button.

14. Edit Product Variation Image:
Click on the product variation label within the Product Group Items table.

15. If you don`t have Variation image click on the Add Image button.

16. There are a few possible options to add the Image for your Variation:

  • Upload a new image using Take a Photo option

  • Select from your local storage using Upload files option

  • Choose from the Library using Choose from Library option

17. Select one image for your Variation.

18. Click on the Add button.

19. If you want to change the Variation image, hover the mouse over the image and click on the “x” icon.

20. Click on the Add Image.

21. Select your preferred method of adding the image and choose the desired image from the available options.

22. After selecting the image, click on the Add button to include it.

23. Click on the Save button to apply the changes and update the Variation Image.

1.5 How to Create a New Product Variation by Editing Attributes on a Product Variation Item?

Updating attributes related to group products may alter the Product Variation or even create a new one. In this guide, you'll learn how to manage Product Variation entities by modifying attributes on variation items.

1. To alter an Inventory item’s attributes in a Product Group with Variations, open the Group record, find the Variation with the item, click its ID, and adjust the attributes as needed.

2. Edit Inventory Item attributes.

3. Click on the Save button.

4. Click on the Only this Item button if you want to update only the current item. Pavilion will automatically generate a Product Variation with a new, unique attribute combination.

5. If you wish to update all items under the variation, click on the Apply to all button. The changes made will apply to the existing variation.

1.6 How to Add a Product Group to your Website

Website Integration: If synchronization is enabled, your Product Group will directly appear on your website.

Depending on your decision, you can select a specific behavior to synchronize Product Group on your website.

1. On the Product Group record, navigate to the Synchronization section and click on the Sync Behavior field corresponding to your preferred website.

2. Select the When Available option if you want to synchronize your Product Group only when all Inventory Items have a Stock status.

3. Alternatively, if you want to synchronize your Product Group regardless of the Inventory Item status, select the Always Sync option.

4. Click on the Save button.

5. After saving the changes, your Product Group will be added to your website and available for customers to view and browse.
