Manufacturing jobs are used when your team creates a finished inventory item from materials, services, labor, fees, or other components.
Use a manufacturing job to track what goes into the piece, move the job through production, and create the finished inventory item when the work is complete.
If you do not see the Manufacturing Job option, contact your Pavilion administrator.
Manufacturing job stages
Each manufacturing job moves through these stages:
Draft | You're setting up the job. Add items, materials, and fees. Nothing in your inventory is affected yet. |
In Production | Work has started. The job is active and your team is producing the piece. |
Completed | The piece is done. Your finished item appears in inventory automatically. |
Canceled | The job was canceled. No inventory changes are made. |
ℹ️ If you don't see the Manufacturing Jobs option, please contact your system administrator.
Create a manufacturing job
Go to the Jobs tab.
Click New.
Select Manufacturing Job.
Click Next.
Complete the job details, including the customer or account, store, due date, and description.
Click Save.
Add materials and components
Materials and components are the physical items used to make the finished piece, such as gold, gemstones, findings, or settings.
Open the manufacturing job.
Click + Item.
Search for the material or create a new item.
Select the item.
Complete any additional fields, such as quantity, cost, or price.
Click Save.
Adding items to a manufacturing job does not affect inventory balances yet. Inventory is affected when the job moves to In Progress and is completed.
Add services and labor
Use services for labor or work performed as part of the manufacturing process, such as bench labor, engraving, setting, or finishing.
Open the manufacturing job.
Click + Service.
Select the service type.
Complete the required fields.
Click Save.
Services are tracked for costing, but they do not reduce physical inventory.
Add fees
Use fees for one-time charges that are not physical materials or services, such as rush fees or design fees.
Open the manufacturing job.
Click + Fee.
Enter a fee name.
Enter the fee amount.
Click Add.
Mark a manufacturing job as in progress
Mark the job as In Progress when production starts.
Open the manufacturing job.
Click the In Progress status.
Click Mark as In Progress.
Confirm the action.
When the job is marked as In Progress, Pavilion places the selected materials on hold for the job.
Complete a manufacturing job
Complete the job when the finished piece is ready to become an inventory item.
Open the manufacturing job.
Click the Completed status.
Click Mark as Completed.
In the completion form, review or enter the finished item details, including title, category, vendor, location, and quantity.
Click Create.
When the job is completed, Pavilion creates the finished inventory item and records the material usage from the job.
⚠️Don't close the window or navigate away while the job is being processed.
Create more than one finished item
If the job produced multiple identical pieces, enter the correct Quantity when completing the job.
If each finished piece should have its own inventory record, use the option to create separate items. This is useful when each piece needs to be tracked individually.
Edit a manufacturing job
You can edit a manufacturing job while it is still in Draft.
In Draft, you can:
Add or remove materials
Add or remove services
Add or remove fees
Update quantities
Edit job details
ℹ️Once you've added items to a job, the Customer Account and Store fields lock in place. If you need to change either of those, remove all items first, make the change, then add them back.
After the job moves past Draft, quantities and materials are fixed. To make significant changes, reopen the job if the job is eligible to be reopened.
Reopen a completed manufacturing job
Reopen a completed manufacturing job when you need to correct the finished item details, quantity, or other job information.
Open the completed manufacturing job.
Click In Progress.
Click Mark as In Progress.
Confirm the action in the dialog box.
When the job is reopened, Pavilion removes the finished inventory item and returns the job to an editable state.
ℹ️ Reopening a job does not automatically return the raw materials to your inventory. The material usage from the original completion stays recorded. If the materials need to go back into stock, that adjustment needs to be made separately.
When a job cannot be reopened
A completed manufacturing job may not be eligible to reopen if the finished inventory item has already been sold or reserved for an order.
If this happens, release the reservation or sale first, then reopen the job and make the needed corrections.
Quick tips
Add all materials before moving the job to In Progress.
Use fees for charges that are not physical inventory items.
Use a clear job description because it may become part of the finished item record.
Decide upfront whether multiple finished pieces should share one SKU or become separate inventory items.
Review the finished inventory item after completion to confirm the details are correct.
