Creating a Special Order

Special Orders are customer requests for out-of-stock items that have to be ordered from vendors. This user guide offers a step-by-step walkthrough on managing Special Orders within Pavilion.

Creating a Special Order

1. In the App Navigation Menu, locate and click on the Special Orders tab. On the Special Order page, click on the New button.

2. Select your customer in the Customer field.

3. Select your associate in the Primary Associate field.

4. Add cost in Unit Cost field.

5. If cost is estimated, mark the Cost is Estimated checkbox.

6. Select your source in the Source field.

7. Select due date for your order in Due Date field.

8. Add the Price.

9. If price is estimated, mark the Price is Estimated checkbox.

10. If you have a discount amount, enter it in the Discount Amount field. Please note that you can change the entered discount amount after the creation of the Special Order if needed.

11. After filling all the necessary data related to the Special Order, proceed to add item details. Select the vendor for your item in the Vendor field.

12. Add the description to the Description field.

13. Choose the item category from the Category dropdown menu.

14. Check the correctness of the entered data and click on the Save button.

15. If you need to add shipping, enable the Shipping toggle located in the Shipping section.

16. Select the shipping vendor in the Vendor field.

17. Add shipping cost in the Cost field.

18. Add shipping price in the Unit Price field.

19. Check if the data you have entered is correct and click on the Save button.

Updating Special Order as Ready for Pickup

In Pavilion, you have the capability to monitor the progress of your Special Orders. As soon as an order reaches your store, you're able to switch its status to Ready. This applies to both individual Special Orders and those linked with Jobs.

There are several methods to accomplish this:

Marking Special Order as Ready from the Special Order Page

Steps:

  1. Navigate to the Special Orders tab.

  2. Access your individual Special Order record.

  3. Select the Ready for Pickup button.

Marking Order as Ready for Pickup via Is Ready Box

Steps:

  1. Navigate to the Special Orders tab.

  2. Open the relevant Special Order record.

  3. Locate and select the Edit button next to the Is Ready field.

  4. Check the Is Ready box to mark it.

  5. Don't forget to Save your changes.

Marking Order as Ready During the Creation of a Job

Steps:

  1. Navigate to the Special Orders tab.

  2. Click on the New button

  3. In New Special Order form, mark the isReady checkbox

Marking Special Order as Ready from the Job Record

Steps:

  1. Navigate to the Special Orders tab.

  2. Access your Job record that has an associated Special Order.

  3. Choose the menu button next to Special Order in the job-related list view.

  4. Select the Mark as Ready button.
