Operation Types
There are two operation types you can use when adjusting a customer’s account:
Top Up – When a customer adds funds to a credit balance.
Example: A parent comes into the store and deposits money into their daughter’s account so she can use it later for purchases.
Refund – When you return money to the customer after they’ve previously made a purchase and received credit.
Example: A customer returns an item and requests the credit balance to be cashed out (whether by cash, card, or other method).
Steps to Adjust a Customer’s Credit in POS
1. Open the POS from the Utility Bar.
2. Select your customer in the Customer field.
3. Click the dropdown button (1) and choose Adjust Account (2).
4. In the window that opens, select the Operation Type: Top Up or Refund.
5. Enter the Unit Price (the credit amount being adjusted).
6. (Optional) Add an Internal Note.
7. Click Save to confirm your changes.
What Happens Next
After saving the Adjust Account item:
1. The item is added to the current sale.
2. Complete the sale as usual by filling in the required POS fields. Click Finish to finalize the transaction.
3. Pavilion creates a sale that includes the Adjust Account item.
The customer’s Open Credit balance is automatically recalculated based on the selected operation type.
Why This Process Matters
Adjusting customer credit through the Adjust Account feature ensures that every change to a balance is tied to a proper transaction in Pavilion. Instead of manually editing balances, the system issues the necessary invoices and receipts in the background. This creates a clear financial trail, making it possible to:
Prove that the store received funds when the credit is topped up.
Document refunds accurately when money is returned to a customer.
Maintain compliance with accounting standards by recording every credit adjustment as a legitimate sale or refund.
In practice, this means that customer credit is not just tracked internally. It is legally recognized in your sales records, which protects both the business and the customer.
