Merging duplicate customer records helps keep your customer list clean and prevents activity, balances, and transaction history from being split across multiple profiles.
Use this article when the same customer has more than one record in Pavilion and you want to combine those records into one primary customer profile.
⚠️ Important: Merging customers is permanent. Before you merge records, review both customer profiles and confirm which customer should remain as the primary customer.
What happens when customers are merged?
When customers are merged, Pavilion keeps the primary customer and moves information from the duplicate customer into that profile.
Merged information may include:
Email
Phone
Gender
Source
Birthdate
Anniversary
Description
Critical warnings
Shipping address
Billing address
Orders
Receipts
Balances
The duplicate customer record will no longer be available as a separate customer profile.
Before you merge customers
Before starting the merge, review both customer records and confirm:
Which record has the most accurate customer information
Which record should be kept as the primary customer
Whether either customer has a spouse record
Whether the customer has open orders, receipts, credits, or balances
Merge customer records
Open the customer record you want to review.
Click Merge Customers.
Search for and select the customer record you want to merge with the current customer.
Click Next.
Select the Primary Customer. This is the customer record Pavilion will keep after the merge.
Review the confirmation message.
Select the checkbox to confirm that you understand the merge cannot be reversed.
Click Next to complete the merge.
What happens after merging?
After the merge is complete:
The duplicate customer record is no longer available as a separate record.
Customer information from the duplicate record is consolidated into the primary customer record.
Related orders, receipts, balances, and customer history are associated with the primary customer.
The primary customer profile should be reviewed to confirm the information merged correctly.
What happens to spouses during the merge?
If either customer record has a spouse linked, Pavilion may show spouse merge options during the customer merge process. Review this section carefully before completing the merge.
If the primary customer has a spouse
If the primary customer already has a spouse, that spouse remains linked to the primary customer after the merge.
If the duplicate customer does not have a spouse, no spouse change is needed.
If the duplicate customer has a spouse, review the spouse options before continuing.
If the primary customer does not have a spouse
If the primary customer does not have a spouse, and the duplicate customer has one, the spouse from the duplicate customer may be linked to the primary customer.
If both customers have spouses
If both the primary customer and duplicate customer have spouses, Pavilion may show a Merge Spouses option.
Select Merge Spouses if the spouse records also represent the same person.
Do not select Merge Spouses if the spouse records represent different people.
If you do not merge spouses, the selected spouse relationship is kept based on the option you choose during the merge.
Review the merged customer record
After merging, open the primary customer record and review the information for accuracy.
Check important fields such as:
Name
Email
Phone
Address
Customer balances
Orders
Receipts
Spouse information
Notes or history
If something does not look correct, contact your administrator.
