Contact methods let you choose how a customer should receive notifications from Pavilion. You can set default contact methods on the customer record, override them on specific orders, and choose how to notify the customer when an order is ready for pickup.
Available Contact Methods
Pavilion allows you to choose from several contact options:
Customer’s Phone – available for calls and text messages
Customer’s Other Phone – available for calls only
Spouse’s Phone – available for calls and text messages
Spouse’s Other Phone – available for calls only
Customer’s Email
Spouse’s Email
Customer’s Other Email
Spouse’s Other Email
Text message notifications can only be sent to the customer’s primary phone or the spouse’s primary phone.
Manage default contact methods on a customer record
Open the customer record.
Enter the customer’s contact information, such as Email, Phone, Other Email, and Other Phone.
Scroll down to the Default Contact Methods section at the bottom of the page.
Choose which contact methods should be used by default for this customer.
The changes will save automatically.
ℹ️ Note: By default, the customer’s primary email and phone are used as contact methods. If Pavilion Messaging is enabled, the primary phone defaults to SMS. Otherwise, it defaults to Call.
Important: Updating the Default Contact Methods on a customer record will not change any Orders that already exist. Orders created before the update will continue to use the contact methods that were originally set at the time of creation.
Override contact methods for a customer order
You can override contact methods for a specific order. This lets you choose a different phone number or email address for that order only.
Create or open a customer order, such as a Job or Special Order.
Scroll down to the Contact Methods section at the bottom of the order page.
Select the preferred contact methods for that order.
Notify a customer when an order is ready for pickup
When an order is ready, Pavilion will prompt you to notify the customer using the selected contact methods.
Open the Job or Special Order record.
Click the Ready for Pickup button.
Select the preferred contact methods for that order in the Ready for Pickup window.
Click Mark as Ready.
If selected, Email and/or Text (SMS) notifications will be sent to the selected contact methods.
ℹ️ If you select a phone number that is not valid, the system will display an error, and the notification will not be sent until a valid number is provided for a Customer.
