How do I use the Data Import/Export tool?

Learn how to import and export records using CSV files.

The Data Import/Export tool lets you import and export larger sets of Pavilion data using CSV files. You can use it to manage inventory, product groups, customers, vendors, and gallery images.

Use this tool when you need to create, update, review, or back up records in bulk.

What can be imported and exported

The Data Import/Export tool supports:

  • Inventory

  • Product groups

  • Customers

  • Vendors

  • Gallery images


Import inventory

Use Import Inventory to create new inventory records or update existing inventory records from a CSV file.

  1. Open the Data Import/Export tool.

  2. Under Import Inventory, click Download Template.

  3. Fill out the CSV template. Required fields for new inventory items usually include:

    1. title

    2. category

    3. vendor_id

    4. store_id

    5. location_id

    6. weight, for some pricing models such as bulk stones or gemstones

  4. If adding inventory adjustments, include:

    1. adjust_quantity

    2. adjust_operation

  5. Supported adjustment operations include:

    1. VENDOR_PURCHASE

    2. MEMO_PURCHASE

    3. VENDOR_RETURN

    4. MEMO_IN

    5. SALE_RETURN

    6. LOST

    7. FOUND

    8. SCRAP

  6. For negative adjustment types, such as VENDOR_RETURN, SALE_RETURN, LOST, or SCRAP, enter adjust_quantity as a negative number.

  7. Click Start Import under Import Inventory.

  8. Upload or drag and drop the completed CSV file.

  9. Map the CSV columns to the correct Pavilion fields.

  10. Select Update Existing Records for any fields that should update existing inventory items.

  11. Confirm that you understand the import will affect Pavilion data.

  12. Click Import.


Export inventory

Use Export Inventory to download inventory records for reporting, review, editing, or backup.

  1. Under Export Inventory, click Start Export.

  2. Optional: Apply filters such as:

    • Category

    • Store

    • Location

    • In Stock

    • Memo

  3. Leave the filters blank if you want to export all available inventory data.

  4. Click Export.

  5. Download the CSV file when it is ready.


Import product groups

Use Import Product Group to create or update grouped product data, such as variants of the same product in different sizes or colors.

  1. Under Import Product Group, click Download Template.

  2. Fill out the CSV template. Required fields usually include:

    1. category

    2. name

  3. Click Start Import.

  4. Upload or drag and drop the completed CSV file.

  5. Choose the Unique Key used for mapping.

  6. Map the CSV columns to the correct Pavilion fields.

  7. Confirm that you understand the import will affect Pavilion data.

  8. Click Import.


Export product groups

Use Export Product Group to download grouped product data for review, editing, sharing, or backup.

  1. Under Export Product Group, click Start Export.

  2. Optional: Filter by Category or Vendor.

  3. Leave the filters blank if you want to export all available product group data.

  4. Click Export.

  5. Download the CSV file when it is ready.


Import customers

Use Import Customer to create or update customer records in bulk.

  1. Under Import Customer, click Download Template.

  2. Fill out the CSV template with customer details, such as:

    • Name

    • Email

    • Phone number

    • Tags

    • Customer notes

  3. Make sure Last Name is filled in, since it is required.

  4. Click Start Import.

  5. Upload or drag and drop the completed CSV file.

  6. Map the CSV columns to the correct Pavilion fields.

  7. Confirm that you understand the import will affect Pavilion data.

  8. Click Import.


Export customers

Use Export Customer to download customer records.

  1. Under Export Customer, click Start Export.

  2. Click Export to generate the CSV file.

  3. Download the CSV file when it is ready.


Import vendors

Use Import Vendor to create or update vendor records in bulk.

  1. Under Import Vendor, click Download Template.

  2. Fill out the CSV template with vendor details, such as:

    • Name

    • Email

    • Phone number

    • Address

  3. Make sure Name is filled in, since it is required.

  4. Click Start Import.

  5. Upload or drag and drop the completed CSV file.

  6. Map the CSV columns to the correct Pavilion fields.

  7. Confirm that you understand the import will affect Pavilion data.

  8. Click Import.


Export vendors

Use Export Vendor to download vendor records.

  1. Under Export Vendor, click Start Export.

  2. Click Export to generate the CSV file.

  3. Download the CSV file when it is ready.


Import gallery images

Use Import Media Files for Gallery to add or update inventory images in bulk.

  1. Under Import Media Files for Gallery, click Download Template.

  2. Fill out the CSV template.

  3. In the recordKey field, enter one identifier for the related record, such as:

    • Salesforce ID

    • Internal ID

    • Item Number

    • SKU

  4. In the imageName field, enter the full image file name, including the file type, such as .jpg or .png.

  5. Optional: Use imageUrl instead of imageName if your organization is importing from image URLs.

  6. Click Start Import.

  7. Upload or drag and drop the completed CSV file.

  8. Upload the image files or select the media folder where the images are stored.

  9. Under Record Mapping Options, select the Object Type. Options include:

    1. Define automatically by ID

    2. Inventory Item

    3. Product Group

    4. Product Variation

  10. If you select Inventory Item, Product Group, or Product Variation, choose the Map By Field value used to match records.

  11. Optional: Select Replace existing images if you want to delete all existing images on the items you are updating.

  12. Confirm that you understand the import will affect Pavilion data.

  13. Click Import.

If errors occur, download the results CSV to review what needs to be fixed.
