How do I adjust customer credit in POS?

Learn how to add or refund customer credit from POS by using the Adjust Account option.

Use Adjust Account in POS when you need to add funds to a customer’s credit balance or refund credit back to the customer.

Credit adjustment types

There are two adjustment types:

  1. Top-up: Use this when a customer adds money to their credit balance.

    1. Example: A customer deposits money into their account so they can use it for future purchases.

  2. Refund: Use this when you return money to a customer from an existing credit balance.

    1. Example: A customer has open credit on their account and wants the balance refunded by cash, card, or another payment method.

Adjust customer credit in POS

  1. Open POS from the Utility Bar.

  2. In the Customer field, select the customer whose credit you want to adjust.

  3. Click the dropdown at the bottom of POS.

  4. Select Adjust Account.

  5. In the Adjust Account Credit window, choose the Operation Type:

    • Top-up to add credit to the customer’s account.

    • Refund to remove credit from the customer’s account and return funds to the customer.

  6. Enter the Unit Price.

  7. Add an Internal Note, if needed.

  8. Click Save.

  9. Complete the sale as usual in POS.

  10. Click Finish.

After the transaction is finished, Pavilion creates a sale that includes the Adjust Account item. The customer’s Open Credit balance is recalculated based on the selected operation type.

Why this matters

Using Adjust Account keeps customer credit changes tied to a transaction in Pavilion. This helps the store:

  • Track when credit is added to a customer account.

  • Document refunds when credit is returned to a customer.

  • Keep customer balances accurate.

  • Maintain a clear transaction history.
