Adding Trade-ins from POS

Guide on adding trade-in items through POS, including creating new trade-ins or selecting existing multi-quantity inventory items. Covers prefilling, editing, and how trade-ins update inventory automatically.

Pavilion allows you to easily process trade-ins from customers. This user guide will walk you through the steps to add trade-ins in the POS interface.

Adding a New Trade-in Item

1. Open the POS from the Utility Bar. Click the dropdown button (1) and select Trade-In (2).

2. Type in the title in the Title field.

3. Select the vendor in the Vendor field.

4. Enter the trade-in price in the Unit Price field.

5. Choose the appropriate category for the trade-in item in the Category field.

6. Select the Tax status for the trade-in item if needed.

7. Optionally, add an Internal Note, Description, and Internal ID in the corresponding fields.

8. Click Add to add the trade-in as a sale line item.

9. If you want to make any changes to an already added Trade-In, click on the edit icon on the sale line item in POS.

10. After making your edits, click on the Save button. If you want to revert your edits and discard the changes, click on the Cancel button.

11. Once the trade-in item is added, proceed with the rest of the sale as usual. When all required POS fields are completed, click on the Finish button. The trade-in item will be created in Pavilion and ready for use.

Adding a Trade-in from Existing Inventory

Use this method if the customer is trading in an item that already exists in your store's inventory.

⚠️ Only items with a Multi-Quantity pricing model can be selected for trade-ins from existing inventory.

1. Open the POS from the Utility Bar. Click the dropdown button (1) and select Trade-In (2).

2. In the Inventory Item field, select the existing inventory item.

3. After selecting the existing inventory item, all details will prefill automatically. You can update the Title, Quantity, Unit Price, Tax Status, Description, Internal Note, and Internal ID based on your user permissions.

4. Click Add to add the trade-in to POS.

5. If you want to make any changes to an already added trade-in, click on the edit icon on the sale line item in POS.

6. After making your edits, click Save to apply changes, or Cancel to discard them.

7. Once the trade-in item is added, proceed with the rest of the sale as usual. When all required POS fields are completed, click Finish.

8. The trade-in adjustment will automatically update your inventory and will appear in the Inventory Balances section of the Activity tab for that item. This keeps your quantities accurate and ensures the update is fully tracked in your inventory history.
