The Full Count feature in Pavilion serves as a helpful tool for counting and managing the quantity of available items in your store. With this application, you can accurately track and manage the quantity of items in your inventory.

Basic overview
Full Count statuses
Status type | Description |
Open | The Full Count is in its initial creation phase. This status displays all store items in Stock status that can be scanned to track availability, discrepancies, and losses. It allows you to begin the Full Count process and accurately assess the inventory stock. |
In Review | Shows the store items that have been scanned but not matched and those that have not yet been scanned at the previous stage. It helps you keep track of the progress and identify which items still require resolving. |
Finilized | Displays the final report with comprehensive information about unresolved, matched, resolved as missed, or resolved as extra items. It provides a detailed overview of the inventory stock review and highlights any discrepancies found during the Full Count. |
Top Bar Information:
Store: Name of the store associated with the Full Count
Total Items: Number of items included in the Full Count
Matched: Count of items with consistent quantities in the Full Count
Unresolved: Count of items requiring attention or resolution due to discrepancies
Missing: Count of items that are not found during the Review
Warnings: Alerts or notifications indicating items which found in a unexpected location
Creating a New Full Count record
1. Click on the App Launcher icon to access the app menu.
2. Enter Inventory Counts into the search field and select it from the list.
3. Click on the New button.
4. Select the Full Count option.
5. Click on the Next button.
6. Click on the Store field and select your preferred store from the list. You can also search for a store by typing its name in the Store field.
7. Fill in the Description field with the relevant information.
8. Click the Save button.
Conducting scanning items and changing item location
1. Scanning items: In the Enter Item field, search for your item by entering its title, ID, SKU, or barcode. Use any of these key parameters to quickly locate the item. Select the desired search result from the list.
2. If the scanned inventory item has a multi-quantity pricing model, the system will prompt you to enter the available quantity. Fill in the quantity and click on the Save button to save the result. This confirmation will initiate the item scanning.
3. During the scanning process within Full Count, you may encounter items that have been placed in the wrong location. In such cases, Pavilion provides flexibility to either return the item to its original location or move it to a different location.
4. Returning Items to Expected Location: If you wish to return an item to its original location, follow these steps:
Click on the arrow button located in the tile of the item.
Click on the Return to Expected Location button.
5. Click on the Yes button in the pop-up window. This confirmation will initiate the item’s relocation back to its original expected location.
6. Change Location: If you wish to change the item location, follow these steps:
Click on the arrow button located in the tile of the item.
Click on the Change location button.
7. Select the appropriate location from the Location list.
8. Click on the Save button.
9. Cancelling Scanning of Individual Items: If you wish to cancel the scanning result for a specific item, click on the option associated with the desired item in the history. Then, click the Cancel Scanning button to confirm the cancellation.
10. Resetting Scanning Results: To reset the scanning results for the full count, click on the Reset button.
11. Click on the Confirm button. This will clear all previous scanning results and allow you to restart the counting process from the beginning.
12. To filter items based on location, you can use the Current Location filter (1). This filter allows you to view items specifically related to the chosen location.
13. Additionally, you can use the Show items filter (2) to display all items, scanned items, or items that have not been scanned yet, depending on your preference. This filter helps you focus on specific subsets of items based on their scanning status.
Handling Unresolved Items
During the inventory management process, it's common to encounter scenarios where inventory items do not match their expected quantity or have other issues. This user guide will provide step-by-step instructions on how to manage the stock quantity of these items and mark them as Found, Missing, or Extra.
Terms of Qty`s in Unresolved Inventory Items table
Scanned Qty | Displays the quantity of items that have been scanned or counted during the inventory process. |
Expected Qty | Shows the expected quantity of items based on the inventory records. |
Qty Diff | Represents the difference between the scanned quantity and the expected quantity, indicating if there is a surplus or deficit in the count. |
1. To initiate the process of resoving discrepancies, click on the To Review button. This will prompt a review of the items, allowing for further examination and potential adjustment of the quantity count.
2. Click the Confirm button.
3. Mark items as Extra: If, during the scanning process quantity of the item exceeds the expected quantity, click on the option button in the respective row and select the Extra option. Confirm the action, and afterward system mark the item as having an excess quantity compared to what was initially expected.
4. Mark items as Missing: If, during the scanning process, quantity of your item is less than the expected quantity, click on the option button in the respective row and select the Missing option. Confirm the action, and afterward, the item adjustments will accurately reflect the missing quantity in the inventory records.
5. Recount items: If you want to recount the scanned quantity for an item, click the option button in the respective row and select the Recount option.
6. Enter the actual number of quantity for the current item and click on the Save button. This will update the quantity for the item and ensure an accurate inventory record.
7. In addition, you can resolve quantity discrepancies by using the Mark as Found (1) or Mark as Missing/Extra (2) buttons.
If the scanned quantity matches the expected quantity, select the corresponding items and click on the Mark as Found button.
If the scanned quantity is less than or greater than the expected quantity, select the respective items and click on the Mark as Missing/Extra button.
8. To filter and view unresolved items efficiently, you can utilize the search and filtering options based on the location or state of the items.
9. To see the items in the grid view, click on the Grid button.
10. To reopen Full Count, click on the Open Again button and confirm the action.
Finalizing & Observing Counting Results
To complete your Full Count in Pavilion, follow these steps:
Click on the Finish & Close button.
A modal window will appear asking for confirmation.
Confirm the action in the modal to finalize and close the Full Count.
To filter and view unresolved items efficiently, you can utilize the search (1) and filtering options based on the location (2) or state of the items (3).
Re-reviewing/ Reopening Full Count
To re-review a Full Count in Pavilion, follow these steps:
Click on the Re-review button.
A modal will appear, asking for confirmation.
Confirm the action in the modal to proceed with re-reviewing the Full Count.
If you want to reopen a Full Count and make it open again, you can follow these steps:
Click on the Reopen button.
A modal will appear, asking for confirmation.
Confirm the action in the modal to reopen the Full Count and make it open for further review or adjustments.
