Using Cash Register

Track daily cash flow per register in Pavilion. Learn how to enable Cash Register, manage register sessions, record Pay-in and Payout adjustments, close sessions, and manage registers at the store level.

The Cash Register feature helps you track daily cash activity per register during POS sessions. It records cash movement like sales payments, as well as manual adjustments such as Pay-in and Payout, so you can review cash flow and reconcile each register at the end of the day. This is especially useful when you have multiple registers in the same store and want clear accountability for each cash drawer.

Enabling the Cash Register

Use the steps below to enable the Cash Register feature in Pavilion. Once enabled, registers can be used and tracked during POS sessions.

⚠️ Register sessions can only be created by users with "Register Session Manager" permission assigned.

1. Open the App Launcher and go to Pavilion Settings.

2. Open Org Settings and find POS Cash Register Enabled.

3. Change the value from false to true. Click Save.

Granting Register Session Permissions

Register sessions are permission-based. If a user needs to be able create or manage register sessions, assign them the Pavilion Register Session Manager permission set.

1. Open the App Launcher and open User Management.

2. Locate the user and click the dropdown icon next to the user. Select Permission Sets.

3. Find Pavilion Register Session Manager and drag it to the user’s assigned permission sets.

4. Save your changes.

Locating and Starting Register Sessions

Register sessions can be created and managed directly from the Register Sessions tab. This allows you to review existing sessions or start a new one for a specific store and register.

1. Open the App Launcher and select Register Sessions.

2. Click New at the top right to start a new Register Session.

3. Choose the Store.

4. Choose the Register.

  • If the register does not exist yet, click + New Register to create one on the spot.

  • Once created, you can immediately select it and continue setting up the session.

5. Enter the Starting Cash Count.

  • You can enter denominations from coins (starting at a penny) up to $100 bills.

  • You can also enter any additional amount in the relevant field.

  • Pavilion automatically calculates the total starting cash amount.

6. Click Start to begin the register session.

⚠️ A store and register can have only one active session at a time. You cannot create a new session while another one is active.

Starting a Register Session from POS

If a register session was not started from Register Sessions, it can be started directly from POS.

1. Open POS. If no active register session exists, Pavilion will prompt you to start one (only users with "Register Session Manager" permission assigned can do that).

From here, you can proceed with creating the Cash Register session.

2. Select the Store and Register.

3. Enter the Starting Cash Count.

4. Start the session to continue selling.

This ensures all POS activity is linked to an active register session and properly tracked.

⚠️ When the Cash Register feature is enabled, POS transactions cannot be completed until a register session is started and a register is selected.

Tracking Cash Movement

Pay-in and Payout are used when cash is physically added to or removed from the register outside of a sale. For example, when there is too much cash in the drawer and part of it is moved to a safe, or when cash is added back into the register.

These actions are available from the top-right corner of an active register session.

Using Pay-in or Payout

1. Open an active Register Session.

2. Click Pay-in or Payout (top right).

3. Select the Payment Method.

4. Enter the Amount.

5. Add a Note if needed.

6. Click Save.

Viewing Pay-in and Payout Records

All Pay-in and Payout actions are recorded in the same register session:

1. Open the Register Session.

2. Go to the Adjustments tab.

3. Each Pay-in and Payout appears as a separate record with its amount, payment method, and note.

This allows you to clearly track all non-sale cash movements for each register session.

Closing a Register Session

Use the Close Session button to finish a register session at the end of the day or shift and reconcile the actual counted amounts with what the system expects.

To close a session, open an active Register Session and click Close Session in the top-right corner.

Understanding the Close Session screen

The Close Session screen summarizes expected activity and lets you enter what was physically counted.

For each payment type, Pavilion shows:

  • Start Amount
    The opening amount entered when the register session was started.

  • Payments
    Total amount collected through POS sales during the session.

  • Adjustments
    Total value of Pay-in and Payout actions recorded during the session.

  • Expected Total
    What Pavilion expects to be in the register based on start amount, payments, and adjustments.

  • Difference
    The difference between the expected total and what you actually counted.

Cash Count section

For Cash, you can enter physical denominations:

  • Bills and coins from pennies up to $100.

  • Pavilion automatically calculates the Total Amount based on the entered counts.

  • An Additional Amount field is available if needed for manual adjustment.

Non-cash payment types

For non-cash payment methods (for example PayPal or Wire Transfer):

  • Enter the Counted Total directly.

  • Pavilion compares it to the expected amount and shows any difference.

Finalizing the session

  • Review the totals and differences.

  • Click Close Session to complete the register session.

Once closed, the session becomes read-only and can be reviewed later (based on permissions).

Managing Registers from a Store Record

You can view and manage registers directly from each Store record. This is useful when you need to confirm which registers exist for a store, update a register, or create a new one.

1. Open the App Launcher and go to Stores.

2. Open the store you want to manage.

3. Go to the Configuration tab.

4. In the Registers section, you can do the following:

  • View existing registers for this store.

  • Edit or Delete a register by clicking the dropdown icon next to it (1) and selecting Edit or Delete.

  • Create a new register by clicking New (2) and completing the register details.

All registers created here become available when starting a register session for this store.
