Gift cards in Pavilion are prepaid cards that customers can purchase and use toward future purchases. A gift card can be used to pay the full order amount or a partial amount until the gift card balance is used.
Each gift card must have a unique gift card number. This number is used to find the gift card and confirm whether it has already been used.
⚠️ Gift card numbers must be unique. You cannot reuse a number from an active or previously used gift card.
Before you use gift cards
Gift cards in Pavilion are single-use. After a gift card is applied to a purchase, it cannot be used again, even if the full balance was not spent.
Any remaining balance can optionally be added to the customer’s credit while processing the payment through POS.
Gift cards cannot be canceled, returned, or deleted after they have been used in a completed sale. You also cannot void a receipt that includes a gift card payment.
If a gift card is being returned or is in the process of being returned, it will not be available as a payment method in POS.
Gift cards cannot be applied to returns or trade-ins.
Create a gift card template
Use a gift card template when you want to create reusable gift card options, such as a $100 gift card or $200 gift card.
Open the App Launcher.
Search for Gift Cards & Coupons.
Select Gift Cards & Coupons from the results.
Click New.
In the Type field, select Gift Card.
Enter the Title.
Enter the Amount.
Optionally, select a Vendor.
Confirm that Is Active is selected.
Click Save.
Sell a gift card from a template
Use this option when the gift card amount already exists as a template.
Open POS from the Utility Bar.
Complete the required POS fields, such as Customer, Associate, Source, and Store.
Click the dropdown arrow next to the POS action buttons.
Select Sell Gift Card.
Select From Template.
In the Select Gift Card Template field, choose the gift card template.
Enter the unique Gift Card Number.
Optionally, add an Internal Note.
Click Add.
Complete the sale as usual.
Click Finish.
The gift card is activated after the sale is completed.
Sell a custom gift card
Use this option when you need to sell a gift card amount that does not already exist as a template.
Open POS from the Utility Bar.
Complete the required POS fields, such as Customer, Associate, Source, and Store.
Click the dropdown arrow next to the POS action buttons.
Select Sell Gift Card.
Select Quick Add.
Enter the Amount.
Enter the unique Gift Card Number.
Optionally, add an Internal Note.
Click Add.
Complete the sale as usual.
Click Finish.
The gift card is activated after the sale is completed.
Pay with a gift card
Use this process when a customer wants to apply a gift card to a purchase.
Open POS.
Add the sale line items.
In the Payments section, click the dropdown arrow.
Select Use Gift Card.
Enter the Gift Card Number.
Click Add.
If the gift card was already used, Pavilion will show a message.
If the full order amount is not covered by the gift card, add another payment method for the remaining balance.
Click Finish.
The gift card payment appears on the receipt and on the Pavilion receipt record.
