What Is a Gift Card?
A Gift Card is a prepaid card that you can buy and use to pay for future purchases at our store. It works like store credit and is perfect for gifts, special occasions, or just saving for your next visit.
You can use a gift card to pay for full or partial amounts of your order until the balance runs out.
What Is a Gift Card Number?
Every gift card has a unique number. This number lets the system find your card and check whether it was used or not.
Where Can You Use Gift Card?
You can apply a Gift Card from the POS to Sales or Orders in the POS.
How often can I use the card?
Gift cards in Pavilion are single-use only. Once a gift card has been applied to a purchase, it cannot be used again, even if the full balance wasn’t spent. However, any remaining balance can optionally be added to the Customer Credit while processing the payment via POS.
Can I void or return a gift card?
You can’t void a receipt that includes a gift card payment.
Gift cards can’t be canceled, returned, or deleted once they’ve been used in a completed sale.
If a gift card has been returned or is in the process of being returned, it won’t be available as a payment method in POS.
⚠️ Gift card numbers must be unique. You can’t reuse a number from an active or previously used card.
Creating a new Gift Card Template
1. Search Gift Cards & Coupons in the App Launcher and click it.
2. Click New.
3. Switch the Type from the Coupon (set by default) to the Gift Card.
4. Enter the Title, Amount, and Vendor (Optional) and click Save.
Selling a Gift Card
You can sell a gift card directly in-store. Here are two ways:
Option 1: From a Gift Card Template
1. Open the POS, fill in the Customer, Associate, Source etc.
2. At the bottom of the POS, click More (1) and Sell Gift Card (2).
3. Choose Select Gift Card Template, select the template from the list, provide it with the unique Gift Card Number, and leave an Internal Note if needed. Click Add.
4. Finalize the Sale, and the Gift Card will be activated and ready to use.
Option 2: Custom Gift Card (Quick Add)
1. Open the POS, fill in the Customer, Associate, Source etc.
2. At the bottom of the POS, click More (1) and Sell Gift Card (2).
3. Choose Quick Add, enter the Amount, provide it with the unique Gift Card Number, and leave an Internal Note if needed. Click Add.
4. Once it's purchased, the card will be activated and ready to use.
Paying with a Gift Card
⚠️ Gift Cards cannot be applied for Returns or Trade-ins
Your customers can use a Gift Card to pay for any purchase at checkout:
1. Open POS and add a Sale line(s).
2. Click the dropdown in the Payments section and select Use Gift Card.
3. Enter the Gift Card Number.
⚠️ You can use a barcode scanner to quickly enter the gift card number
4. If the card was used previously, you will see a message about it.
5. Click the Add button and finalize the payment.
6. The Gift card will be visible in the Receipt, as well as in the Pavilion Receipt Page.
⚠️ If the total is more than the gift card balance, you can pay the rest using another Payment method.
